We are ready to take this game to the next level and need a passionate Executive Assistant, Legal Services & Litigation,  to be responsible for providing direction, assistance and coordination for the day-to-day administrative needs of the Corporate and Litigation Legal Services Department.


Reporting to the Senior Manager Counsel, Legal Services, Corporate and Litigation, you will be empowered to:

  • Prepare, draft, revise and organize legal documents and correspondence to facilitate workflow and compliance with records management/EDRM policies

  • Provide support related on litigation matters as required, including review and assistance with filing of various legal documents

  • Review and process legal invoices to ensure timely payments to suppliers and vendors 

  • Manage the Senior Managing Counsel’s calendar in posting meetings and appointments correctly and assessing matters of urgency in a self-directed manner to promote seamless workflow

  • Exhibit strong writing and editing skills in the drafting, review and proofreading of legal documents, letters, internal and external emails, briefings, memos and other forms of communication to ensure accuracy and completeness

  • Apprise Senior Managing Counsel and key stakeholders of last-minute scheduling changes and other matters of urgency to facilitate daily operations and minimize issues

  • Receive and review Statements of Claim and distribute to appropriate internal contacts in a timely manner

  • Arrange and manage couriers and deliveries to ensure sensitive information is delivered and received in a timely manner

  • Coordinate internal and external meetings, reserve and prepare meeting rooms, audio visual and teleconferencing as required, distribute meeting materials

  • Prepare, review and obtain approval for legal invoicing to ensure expenses are submitted accurately and timely

  • Organize and expedite daily workflow to ensure the achievement of key milestones within schedule

  • Organize, plan and book travel in accordance with OLG policies and procedures



Work experience: A minimum of 3 to 5 years’ experience in a Senior Administrator role required; experience working in a law firm/legal department supporting litigation is strongly preferred; demonstrated experience managing the office of a senior executive, administrative planning and management, senior executive meeting support and managing confidential and sensitive information and conversations with tact and professionalism

Education:  College Diploma in Administration or equivalent

Skills: Highly proficient in Microsoft Office (Word, Excel, PowerPoint), Outlook, PeopleSoft Financials, along with strong technical/internet skills that can be leveraged for research; proven ability to work to tight deadlines, managing complex projects, multiple conflicting priorities and stressful situations with confidence; demonstrated professional judgment, integrity and decision-making abilities; strongly achievement oriented; the successful candidate will be a good organizer and an excellent communicator with the ability to work with and achieve results with all levels of staff and management; strong writing, speaking, presentation and research skills; excellent listener; strong project coordination and problem-solving skills; proven ability to identify areas for improvement and take initiative to implement; excellent relationship building skills, including the ability to work collaboratively in a team environment; previous experience tracking budgets and reviewing legal billings
